Job Title: Human Resources (HR) Administrator

Job Purpose:

The HR Administrator provides day-to-day administrative support to the Human Resources function, ensuring smooth and efficient operations. This role is essential in maintaining HR records, processing documentation, and assisting with recruitment, onboarding, and compliance.
 

Key Responsibilities:

1. HR Administration

  • Maintain and update employee records.

  • Prepare employment contracts, confirmation letters, and other HR documents.

  • Monitor probation periods, anniversaries, and contract end dates.

  • Assist in compiling HR reports (e.g., headcount, leave, absenteeism).

2. Recruitment & Onboarding

  • Post job adverts and schedule interviews.

  • Coordinate background checks, reference checks, and medicals.

  • Assist with onboarding and induction of new employees.

  • Set up personnel files and ensure documentation compliance.

3. Employee Support

  • Serve as a point of contact for HR-related queries.

  • Support with employee wellness initiatives and engagement activities.

  • Assist in organising training, performance reviews, and disciplinary hearings.

4. HR Compliance

  • Ensure policies and procedures are up to date and accessible.

  • Support compliance with labor legislation and internal HR audits.

  • Maintain confidentiality and integrity of HR information.

5. Payroll Coordination 

  • Submit monthly changes to payroll (e.g., new hires, terminations, leave).

  • Track and verify employee leave and attendance records.

Minimum Requirements:

  • Grade 12 (Matric)

  • A diploma or degree in Human Resources, Business Administration, or related field

  • Minimum 2–3 years in an HR administrative/support role

  • Solid understanding of labor legislation and HR best practices

  • Strong computer literacy 

  • Excellent communication and interpersonal skills

  • High attention to detail and ability to handle confidential information
